Introduction

Our project revolved around achieving seamless integration and automation between web forms submitted through a website built on Webflow and Pipedrive, a customer relationship management (CRM) platform. The primary objectives were to ensure that all form submissions were efficiently processed, with the data being stored accurately in Pipedrive and additional actions taken based on user preferences.

Challenges

The client’s key goals for this project were as follows:

  • Efficient Form Submissions: All form submissions made through the website needed to be seamlessly routed to Pipedrive.
  • Create and Update Contacts: For each form submission, a new contact (Person) should be created in Pipedrive, including their First Name, Last Name, Email, and Phone number. Existing contacts should also be updated with new data.
  • Deal Creation: After creating a Person in Pipedrive, a corresponding Deal should be created. This Deal would contain essential information from the web form submissions, which would be stored in specific fields.
  • Consent Processing: In cases where users consented to the processing of their personal data, the “Marketing Status” field within the Person’s record in Pipedrive should be updated accordingly.

 

Our Approach:

  • Understanding Client Needs: We began by thoroughly understanding the client’s needs, workflows, and the data they wanted to synchronize and automate between Weboohs and Make.com.
  • Custom Integration Strategy: Recognizing the uniqueness of the challenge, we formulated a custom integration strategy using Zapier as the bridge between the two platforms. Zapier’s versatility and API capabilities made it the ideal choice for this complex integration.
  • API Integration with Weboohs: We configured Zapier to connect with the Weboohs API, allowing us to access and manipulate data within the platform.
  • API Integration with Make.com: Similarly, we integrated Zapier with the Make.com API to establish a two-way communication channel.
  • Trigger Events Definition: We defined specific trigger events within Weboohs that would initiate actions in Make.com and vice versa. These triggers were based on the client’s unique business processes.
  • Data Mapping and Transformation: Ensuring that data was correctly mapped and transformed between Weboohs and Make.com was crucial. We implemented data mapping rules to maintain consistency and accuracy.
  • Real-time Data Sync: Our solution allowed for real-time data synchronization, ensuring that any updates or changes in one system were instantly reflected in the other.

Integration Workflow

  • Webflow Forms Integration: We integrated Webflow Forms with Pipedrive using Make.com. The trigger for this integration was any submission of a form on the client’s website.
  • Person Creation: Upon form submission, the integration would automatically create a new Person entry in Pipedrive. This entry included the user’s First Name, Last Name, Email, and Phone number.
  • Deal Generation: Simultaneously, a corresponding Deal was created in Pipedrive, associated with the newly created Person. The Deal would contain relevant information from the form submission and populate specific fields in Pipedrive.
  • Data Update: For cases where users provided consent for data processing, an HTTP request was made to update the “Marketing Status” field within the Person’s record in Pipedrive. This ensured compliance with the user’s preferences.
